This shows up when a quote needs turning into an invoice, a supplier email needs checking against a job file, or a team member needs a summary before a site visit. The risk is not just whether the AI is clever. It is whether it has the right access, follows the right steps, and leaves a clear trail.
Reuters reports that OpenAI has unveiled ChatGPT Work, an agent designed to carry out tasks across workplace applications and files. Instead of only answering questions, it is meant to move through the tools people already use at work.
The useful part of ChatGPT Work is not the name. It is the direction. AI is being pulled closer to the actual work: files, emails, calendars, spreadsheets, CRMs, project boards, and internal notes.
That matters because most businesses do not lose time asking questions. They lose time moving information between places. Someone copies figures from an email into a sheet. Someone checks whether a customer has already approved a change. Someone rewrites the same update for three different tools.
An agent that can work across apps could help with that. But only if the process is already understood. If your team cannot explain how a job moves from enquiry to invoice, adding an AI agent will not fix it. It may simply move the confusion faster.
The sensible move is to start with one dull, repeatable workflow. Pick something low risk but annoying. For example: turning meeting notes into actions, preparing a draft customer update, checking whether required fields are missing before an invoice is sent, or summarising a job file before a handover.
The trade-off is control. The more useful an agent becomes, the more access it needs. That means permissions, approvals, and audit trails matter. A small business does not need enterprise jargon here. It needs simple rules: what the AI may read, what it may draft, what it may change, and what a human must approve.
Do not start by asking, “Which AI tool should we buy?” Start by asking, “Where do we keep doing the same handover twice?” Then write the steps down. Once the steps are clear, you can test whether an AI agent saves time without creating mess.
